ROLE PURPOSE

As the Executive Assistant to the Chief Commercial Officer at Space42, you will play a critical role in ensuring the seamless flow of operations, streamlining communications, and enhancing the efficiency and effectiveness of the CCO’s office. You will be the central point of contact between the CCO’s office, senior executives, employees, clients, and stakeholders. Using your organizational expertise, you will manage complex scheduling, communication, and project tracking, facilitate high-level interactions and help implement critical decision-making processes.

Responsibilities

• Manage the CCO’s calendar, scheduling appointments, and prioritizing tasks to ensure optimal time management.
• Schedule and coordinate appointments and meetings, including preparing agendas, prioritizing tasks, taking minutes, and following up on action items.
• Handle all travel arrangements, including flight and hotel selection, as well as raising and tracking internal travel approvals, while ensuring compliance with company policies.
• Draft correspondence on behalf of the CCO, preparing and editing letters, emails, faxes, memos, reports, and presentations for internal and external stakeholders.
• Act as a liaison between the CCO and senior executives, clients, and external collaborators to facilitate clear and effective communication.
• Deal with incoming communications, including telephone calls, email, faxes and post handling/forwarding.
• Develop and maintain office systems, including data management and filing, ensuring that sensitive and confidential information is managed appropriately.
• Manage expense reporting and reimbursements for the CCO, maintaining accuracy and adherence to financial controls.
• Anticipate executive needs and proactively identify solutions to challenges as they arise, demonstrating excellent problem-solving skills.
• Foster a collaborative team environment by proactively supporting colleagues and contributing positively to organizational culture.

Qualifications

• Bachelor’s lor Master’s Degree in Business Administration, Information Technology, or a related field.
• PMP, CAPM, or similar project management credentials.
• English skills – Berlitz Level 6, IELTS 5.0, TOEFL 500 or equivalent diploma in office administration.
• Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, preferably within the high-tech industry.
• Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook) and experience with business intelligence tools.
• Proven ability to manage multiple priorities and projects simultaneously.
